Guidelines for Green Valley Rotary Speakers
click to print this pageprint this page

Thank you for your desire to serve as a guest speaker and agreeing to share your expertise and experience at a meeting of the Rotary Club of Green Valley.  In order to avoid last minute difficulties, please review these Guidelines for Rotary Speakers.  If you have any questions please either contact the Program Committee or club member, Jim Frey, via the Contact Us link.

Our members start to arrive about 6:45 am.  Meetings begin promptly at 7:00 am. and conclude at 8:15 am.  You are our guest – so when you arrive, please announce you are the guest speaker and don’t pay for your breakfast!

A member of our Program Committee will introduce you.  We do ask that you provide them with the introduction information you wish used, (well before the event date, if possible).  This will enable us to correctly announce your presentation topic on our club's web site calendar, publish it in our newsletter, and also give you a proper introduction at the meeting.

The guest speaker is normally introduced about 7:45 am.  Club members expect our speakers to make a 15-20 minute presentation, followed by a few minutes of questions and answers.  If possible, we will adjust our starting time to allow for your needs.  Please let the Program Committee or the President know how much time you'll need, so we can plan our other meeting activities accordingly.

Your presentation MUST end promptly by 8:10 am.  Many members must leave for work and extending a meeting is not possible.  You may stay after the meeting and meet with members that wish to stay longer with questions.

Our club has approximately 25-35 members and guests in attendance at any given meeting.  Handouts for club members are welcome.  However, there are no copy facilities in the meeting room so you will need to bring handouts if they are required for your presentation.

The club does have audio-visual technology available.  Presenters occasionally use computers of their own, and we have a projector to connect to your laptop.  A screen is in the meeting room.  A VCR or DVD with a TV are available with advance notice.  Please let the Rotarian who invited you know if you have specific needs and we will do our best to accommodate you.

Your presentation must avoid overt sales.  Making a “sales pitch” or directly soliciting purchases or donations is not in the spirit of Rotary.  Presentations should not promote a specific business or its services and presentations should be non-political and non-sectarian, unless you have been invited specifically for that purpose.

Requests for donations from the club as a whole need be made to the Board of Directors in writing, as opposed to being solicited from the members during your presentation.  You can present a request to the Board to consider at the next regularly scheduled board meeting.

THANK YOU.  We look forward to your visit and your presentation.
